Terms of Participation in the Trade & Exhibition Zone of the XIX Dollscar

The Trade & Exhibition Zone is dedicated to ball-jointed dolls and all kinds of accessories for them!

Dollscar is the main event of the BJD community. It is not only an exhibition attracting many visitors who come to enjoy beautiful creations, but also a festival bringing together active collectors from all over Russia for an entire day.

To reserve a stand in the Trade & Exhibition Zone, please submit an application through your personal account. An application submitted through the website and confirmed by the organizer forms the basis for a participation agreement. The stand reservation becomes final and the agreement is concluded after payment of the registration fee in accordance with the Public Offer.

Categories

We divide exhibitors into 2 pricing categories. The category is determined by the majority of goods displayed at the stand.

Category D (dolls):

♥ ball-jointed doll artists
♥ doll clothing and shoes
♥ wigs and eyes for dolls
♥ jewelry and accessories for dolls
♥ miniature props and accessories for photoshoots
♥ doll furniture

Category O (other):

♥ technical supplies and doll care products
♥ sewing materials, wig-making supplies, and other craft materials
♥ other toys (limited quota of approximately 5–7 stands, subject to organizer approval)

Additional Services

+1 chair — 400 RUB
+1 pass/badge — 600 RUB
Electricity connection — 1500 RUB
Additional registration fee (second and subsequent participants sharing one stand) — 3300 RUB

Deadlines

★ October 19, 19:00 Moscow time, through October 25, 2026 — initial application period for selection.

★ October 28, 2026 — selection results are announced and application confirmations are sent.

★ After this date, applications will continue to be accepted for the waiting list. Changes and newly available spaces are possible.

Submitting an application through the website does not guarantee a stand reservation. A stand is considered reserved, and the agreement concluded, after payment of the registration fee.

★ Stand payment is divided into 2 parts:
‣ Registration fee for one participant — 3300 RUB (included in the total price listed above; covers registration, application processing, and inclusion in the exhibitor catalog). Each additional participant sharing a stand pays an additional registration fee.
‣ Exhibition stand payment — total price minus the 3300 RUB registration fee.

★ The registration fee must be paid within 7 days after your application is confirmed.

★ By March 1, 2027, the remaining stand payment must be made.

If the second payment is not received on time, we will have to terminate the agreement :( You will not be able to participate in Dollscar that year. Any refund of the registration fee will be handled in accordance with the agreement and the legislation of the Russian Federation.

★ Until May 19, 2027, you may add and pay for any additional services without an extra fee.
After this date and until applications close for editing, a 50% surcharge applies to any newly added services.

★ Until May 19, 2027, you may withdraw from participation and request a refund of your stand payment in accordance with the agreement.
For cancellations after May 19, refunds are handled in accordance with the agreement and the legislation of the Russian Federation.
Please notify us at dollscar@bjdclub.com if you are unable to participate in the exhibition for any reason.

★ June 1, 2027, at 23:59 — applications close for editing. By this deadline, you must provide all information for the exhibitor catalog, including names, logos, links, and other details. You can edit your application through your personal account.
