General Rules for Participation in the XVIII Dollscar

1. Stand Placement

In the trade & exhibition zone, each participant chooses their own stand location — in the same order in which payments are received.

The floor plan is sent out in February–March. Usually it is finalized by June 1, though small adjustments are possible. We will message you in the messenger you listed in your application.

Our partners choose their places out of turn (become a partner!).

Creative zone participants are placed according to technical considerations and the preferences indicated in their applications. Tell us if you want to stand next to friends, be closer to the exit, or anything else — we will do our best to accommodate it.

We reserve the right to adjust the layout of the exhibition and move a participant to another place if necessary. If so, we will notify you by e-mail.

2. Dates & Timing

Dollscar is a fast-paced, eventful exhibition! :) Please be prepared.

Pre-installation Day — Friday, June 19
You may bring your items and set up your stand from 14:00 to 21:00.

Exhibition Day — Saturday, June 20
Setup: 9:30–12:00
Visitor access: 12:00–19:00
Dismantling: 19:00–21:00
Dismantling before 19:00 is strictly prohibited.

We are not responsible for the safety of your stand or belongings. Please supervise your items throughout the entire day — from 9:30 to 21:00.

3. Arrival by Car & Parking

Unfortunately, Amber Plaza Hall does not provide parking for participants (paid or free). Access to the territory by car is allowed only for loading/unloading. You must register in advance and provide your license plate number.

4. What the Stand Includes

Only the table(s) and chairs!
Table size: 150×90 cm, height 76 cm. The tabletop is solid, 3–4 cm thick (tables may vary slightly), made of multilayer plywood, strong enough for heavy loads, typically with a metal edge. 4 round metal legs.

We strongly recommend covering tables with a tablecloth.

5. Walls / Partitions

Our format does not use classical exhibition booth structures.

If you wish to bring your own display frames or partitions — great! Just let us know in advance at dollscar@dollscar.ru.

6. Decorations & Backgrounds

Decor/backdrops may be attached to the table using clamps.

Tape, staplers, and anything that may damage our equipment are not allowed.

If tables/chairs are damaged, the participant agrees to pay a fine from 1000₽ to 5000₽ depending on the severity, at the organizer’s discretion.

7. Not Allowed at Stands

Selling or displaying items completely unrelated to dolls. Non-thematic goods may occupy no more than one third of the stand area.

Open display of 18+ content: explicit sexual acts, violence, obscene text, etc. Such content may be placed behind a screen with a warning. Contact us if you have a concept — we will help find a solution. Just nude dolls do not fall under this restriction.

Playing loud music. Sound is allowed only at a volume audible to your stand and (at most) your immediate neighbor.

Using electric heating appliances (iron, kettle, hairdryer). Irons may be used ONLY during setup. Everything else — no, under any circumstances.

And as always — please respect your neighbors. Behave ethically toward other participants and visitors, keep aisles clear, and stay within your allocated space (use the area under the table for bags and packing materials).

8. Recasts

BJDClub and Dollscar strictly oppose counterfeit dolls (recasts, bootlegs). We prohibit the display of recasts of any kind at any stand.

A recast is defined as a doll produced using an unauthorized mold made from another doll.

This applies to all doll types — including BJD, Blythe TBL, and others.

If a recast is found at the exhibition, the participant must remove it immediately.

In the trade & exhibition zone, discovery of a recast may result in refusal of participation in future Dollscar events (for 1 year or permanently, depending on the situation).

In the creative zone, the entire stand is disqualified from contests, regardless of nomination. The owner of the recast may receive a ban from both zones of Dollscar and from BJDClub (1 year or permanently).

If a recast is discovered after the event, the same measures may apply given sufficient evidence.

We also reserve the right to refuse participation to active members of recast communities: artists offering services for recasts, creators publicly working with recasts, or members of recast-buy/sell groups.

9. Additionally

You may not transfer your stand to another participant without notifying the organizers and receiving written approval. Contact us at dollscar@bjdclub.ru.

Providing false or misleading information about yourself or other participants is prohibited.

Distributing flyers, business cards, or promo materials outside your stand is not allowed.

Taking (or moving to your stand) chairs or tables that are not assigned to you — even if they appear unused — is prohibited.

Early dismantling before 19:00 on the exhibition day is strictly prohibited.

And please follow fire and sanitary safety rules :)

10. If Rules Are Violated

We reserve the right to terminate the agreement and require the participant to vacate the space immediately without refund, and to refuse future participation.
