Terms of Participation in the Trade & Exhibition Zone of the XVIII Dollscar

The trade & exhibition zone is dedicated to ball-jointed dolls and any accessories for them!

Dollscar is the main event of the BJD community. It is not only an exhibition with many visitors wishing to enjoy beautiful works, but also a festival bringing together active collectors from all over Russia for a full day.

To reserve a place in the trade & exhibition zone, please submit an application in your personal account. An application submitted on the website and confirmed by the organizer is considered a participation agreement. The final reservation and contract conclusion take place after payment.

Categories

We divide exhibitors into 2 pricing categories. The category is determined by the majority of goods presented at the stand.

Category D (dolls):

♥ ball-jointed doll artists
♥ doll clothing and shoes
♥ wigs and eyes for dolls
♥ jewelry and accessories for dolls
♥ miniature props and accessories for photoshoots
♥ doll furniture

Category O (other):

♥ technical supplies and care products
♥ sewing materials, wig-making supplies, and other craft materials
♥ other toys (limited quota of ~5–7 stands, subject to organizer approval)

Additional Services

+1 chair — 400₽
+1 pass/badge — 600₽
Electricity connection — 1500₽

Deadlines

★ December 10–15, 2025 — application intake for selection.

★ December 20 — selection results and confirmation emails.

Submitting an application on the website does not guarantee reservation. A stand is considered reserved (the contract — concluded) after payment of the registration fee.

★Stand payment is divided into 2 parts:
‣ non-refundable registration fee for one participant — 3000₽ (included in the total price above; this covers registration, processing your application, and listing you in the participant catalog). Each additional participant sharing a stand pays an additional registration fee.
‣ payment for the exhibition stand — total cost minus the 3000₽ registration fee

★The registration fee must be paid within 7 days after your application is confirmed.

★ The remaining stand payment must be made before March 1, 2026.

If the second payment is not received on time, we will have to terminate the contract :( You will not be able to participate in Dollscar this year. The registration fee in this case is also non-refundable.

★ Until May 20, 2026 you may add and pay for any additional services without commission.
After this date and until applications close, a 50% commission applies to adding any new services.

★ Until May 20, 2026 you may withdraw from participation, and we will refund your stand payment (minus the non-refundable registration fee).
If you cancel after May 20, we retain 100% of the payment.
Please make sure to notify us at dollscar@bjdclub.ru if, for any reason, you cannot participate.

★ June 1, 2026 at 23:59 — applications close for editing. By this deadline, you must provide all catalog information: names, logos, links, etc. The application can be edited in your personal account.
